Dialogue: The English Language School of the People ("Dialogue," "we," "our," or "us") respects the privacy of everyone who visits our website, applies to our programs, donates to our school, or otherwise communicates with us. This Privacy Policy explains what personal information we collect, how we use it, who else handles it, and what rights you have.
This policy applies to dialogueschool.org and to all communications with Dialogue.
Dialogue is a Texas nonprofit corporation (File #806330245) and a US 501(c)(3) public charity (EIN 41-2923319), headquartered in Fort Worth, Texas, United States. Our learners are worldwide. Our legal name is Dialogue Language School; our assumed name is Dialogue: The English Language School of the People.

From learner and instructor applicants. When you write to apply@dialogueschool.org, we receive your name, email address, and whatever you choose to share in your application — typically educational background, language history, and your reasons for applying. For learner applicants, we also schedule a free TOEML™ assessment over Google Meet, during which we observe and record your spoken and written English for placement purposes (see "Recordings" below).
From general inquiries, partners, and press. When you contact info@dialogueschool.org, we receive your name, email address, and the content of your message.
From donors. Donations are processed by Zeffy, our donation platform. Zeffy collects donor name, email address, payment information, and any optional contribution to Zeffy itself. Dialogue receives donor name, email, donation amount, and date — but not full payment information. Zeffy's privacy practices are governed by Zeffy's own privacy policy at zeffy.com.
From callers. Our voicemail line is a Google Voice number. When you leave a voicemail, Google Voice records audio and creates an automated transcript, both accessible to Dialogue.
From website visitors. Our website is hosted on Google Sites under Google Workspace for Nonprofits. Google Sites sets cookies and collects basic visitor analytics (pages viewed, approximate location, device type) by default. We do not currently use Google Analytics or any third-party tracking. We do not currently use advertising cookies. If we add Google Ads remarketing in the future (after Google Ad Grants approval), we will update this policy and disclose it before activation.
We use your information only for the purposes for which you provided it:
Applicant data is used to review applications, conduct TOEML assessments, communicate with applicants about cohort placement, and maintain enrollment records.
Inquiry data is used to respond to your message.
Donor data is used to acknowledge donations, issue tax receipts, and maintain financial records as required by the IRS and the State of Texas.
Voicemail data is used to return your call and respond to your inquiry.
Website analytics are used to understand site traffic and improve the site.
We do not sell your information. We do not share your information with third parties for marketing purposes. We do not use applicant or donor data for any purpose other than the one you contacted us for.
Dialogue uses the following service providers, each governed by their own privacy policies:
Google Workspace for Nonprofits (Gmail, Drive, Calendar, Forms, Meet, Sites, Voice, Classroom) — for email, file storage, scheduling, instruction, voicemail, and the website.
Zeffy — for donation processing.
Relay (Thread Bank) — for banking. Relay receives only what is required to deposit donations and pay vendors.
Candid (formerly GuideStar) — for our public transparency profile. Information we publish on Candid is information we have chosen to make public.
Each of these providers has its own privacy policy. We encourage you to review them.
We may also disclose your information when required by law, when responding to lawful requests from public authorities, or when necessary to protect the rights, property, or safety of Dialogue, our learners, or others.
Some interactions with Dialogue may be recorded:
TOEML assessments conducted over Google Meet may be recorded for placement and arbitration purposes. Recordings are retained only as long as needed to confirm placement and to support the candidate's right to review their own assessment, then deleted. Candidates are informed before recording begins and may decline.
Cohort instruction sessions may be recorded so that learners who miss a session can review it. Recordings are accessible only to the cohort instructor, the cohort's twelve learners, and Dialogue's executive director, and are deleted at the end of each cohort.
Voicemail recordings and automated transcripts are retained for ninety days and then deleted unless retained for a specific business reason (e.g., a documented donor pledge).
Dialogue is built for adult learners holding a secondary school diploma or its equivalent. We do not knowingly collect personal information from anyone under the age of eighteen. If we learn that we have collected information from a minor without appropriate consent, we will delete it. If you believe a minor has provided us with personal information, contact us at info@dialogueschool.org.
Dialogue is based in the United States, and information you provide is processed and stored in the United States. If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with data protection laws, you have specific rights under those laws, including:
The right to access the personal information we hold about you.
The right to correct inaccurate information.
The right to request deletion of your information.
The right to restrict or object to certain processing.
The right to receive your information in a portable format.
The right to lodge a complaint with your local data protection authority.
California residents have similar rights under the California Consumer Privacy Act (CCPA), including the right to know, delete, and opt out of any sale of personal information (we do not sell personal information).
To exercise any of these rights, contact us at info@dialogueschool.org with "Privacy" in the subject line. We will respond within thirty days.
We retain personal information only as long as needed for the purpose for which it was collected, or as required by law:
Declined applicant files are deleted one year after the decision.
Enrolled learner records are retained for seven years after the learner's last cohort.
Donor records are retained for at least seven years, as required by IRS recordkeeping rules.
General inquiry emails are retained for two years and then deleted unless they have become part of an active matter.
Voicemail recordings are retained for ninety days.
TOEML assessment recordings are deleted upon final placement confirmation.
Cohort instruction recordings are deleted at the end of each four-week cohort.
We use Google Workspace for Nonprofits and other service providers who maintain industry-standard security practices, including encryption in transit and at rest. No system is perfectly secure, and we cannot guarantee absolute security of information transmitted to or stored by us. If we learn of a data breach affecting your personal information, we will notify you in accordance with applicable law.
Our website is hosted on Google Sites, which sets cookies necessary for the site to function and for basic analytics. You can disable cookies in your browser settings, but parts of the site may not work properly without them.
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top. For material changes, we will post a notice on the home page of dialogueschool.org and, where we have your email address, notify you directly.
